This Privacy Policy explains how Smart Scheduler (“we”, “us”) collects, uses and shares information about you when you use our website and application (the “Service”). We aim to comply with the Digital Personal Data Protection Act, 2023 (DPDP Act) and applicable Indian rules.

1. Information we collect

  • Account data: name, email address, and profile picture provided by your Google account when you sign in.
  • Contact data: phone number, if you choose to share it during demo signup.
  • Operational data: batches, faculty, centres, syllabi, timetables and notes that you (or your organisation) enter into the Service.
  • Technical data: IP address, browser type, device information, and basic usage analytics (page views, button clicks).

2. How we use your information

  • To provide, maintain and improve the Service.
  • To authenticate you and secure your account.
  • To respond to support requests and communicate product updates.
  • To understand product usage in aggregate, so we can improve features.

3. Legal basis

We process your personal data on the basis of your consent (when you sign in or sign up for the demo) and for the legitimate purposes of operating the Service you have asked to use.

4. Sharing

We do not sell your personal data. We share limited data with trusted infrastructure providers (e.g. hosting, database, authentication, analytics) strictly to operate the Service. These providers are bound by their own privacy obligations.

5. Data retention

We retain your account and operational data for as long as your account is active. Demo accounts and demo data may be deleted at any time without notice. You can request deletion of your data at any time by emailing us (see Contact below).

6. Security

We use industry-standard safeguards including encrypted connections (HTTPS), row-level access controls, and least-privilege server keys. No internet service can be guaranteed 100% secure.

7. Your rights under the DPDP Act

You have the right to:

  • Access a summary of the personal data we hold about you.
  • Correct or update inaccurate data.
  • Withdraw consent and request deletion of your data.
  • Nominate another individual to exercise these rights in case of incapacity.
  • Lodge a grievance with us, and escalate to the Data Protection Board if unresolved.

8. Children

The Service is intended for use by coaching institute staff (coordinators, faculty, administrators) and is not directed at children below the age of 18.

9. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via the application or by email where appropriate.
